Session Payments and Booking Access Policy
Purpose
The purpose of this policy is to outline Little Insights’ approach to managing payments, invoicing, and booking access. This ensures fair and consistent availability of services across families, while supporting sustainable and uninterrupted care for children and young people.
Definitions
Invoice: A financial document issued for therapy sessions, payable within the timeframe specified.
Client Portal: The online platform used by families to book, manage, or cancel appointments.
Overdue Account: An account where payment has not been received within 7 days of invoicing.
Payment Terms
All session invoices are due within 7 days of the invoice date.
In families where separated parents or guardians share financial responsibility, it remains the responsibility of the family to ensure invoices are paid on time.
Overdue Accounts
If an account becomes overdue, the following measures will apply:
Future bookings will be removed from the calendar.
Released time slots will be offered to other families and may no longer be available.
Access to online booking will be paused until the account is brought up to date.
Once outstanding balances are cleared, families will be able to resume booking available sessions via the client portal or by contacting the practice directly.
Continuity of Care
Little Insights recognises the importance of consistent therapy for children and young people. While restrictions on bookings and portal access are a necessary part of managing overdue accounts, our team remains committed to supporting continuity of care. Families are encouraged to contact the practice promptly to resolve payment matters so that services can continue without disruption.
Amendments
Little Insights reserves the right to review and update this Session Payments and Booking Access Policy as needed. Any changes will be communicated by posting the updated version on our website.
